Terms and Conditions

In the following Terms and Conditions, Bauhinia Solutions is referred to as “Bauhinia”, and you, the client is referred to as “the Client”.

1. Amendments

Bauhinia reserves the right to change our terms and conditions at any time, at which time a notice will be posted on our blog advising of such changes. The following Terms and Conditions apply to all products and services provided by Bauhinia.

2. Acceptance of Terms and Conditions

All work is carried out by Bauhinia with the understanding that the Client has read, understands and agrees to be bound by Bauhinia Terms and Conditions.

3. Quotations

Upon requesting a quote, you, the Client will be sent a written confidential quotation in electronic format. The quote will outline the costs for services requested, additional expenses such as printing, facsimiles, telephone, couriers etc and will include an estimated time-frame of delivery.

All quotes are valid for 30 days and are subject to change should the scope of requested work change, or if additional resources are necessary. Any changes to quotations will be in complete consultation with the Client.

Additional expenses such as phone calls on behalf of the Client, postage, couriers, colour printing, facsimiles, etc are charged separately and will be itemised on the final bill. We will ensure that additional expenses are approved by the Client prior to utilising such services.

Urgent requests or after-hours work is subject to a 20% surcharge.

All quotations are confidential and the Client agrees not to disclose information within the quotation to other parties.

4. Acceptance of Quotation

Acceptance of quotation must be emailed sent to Bauhinia and is legally binding. All work will be prioritised based on a ‘first come, first served’ basis.

For project based work, Bauhinia does require a 50% non refundable deposit before commencement of work, unless otherwise stated.

For VA work, work is completed in 15 minute increments, minimum of one hour charge, unless otherwise agreed upon prior to accepting the work.

Payment details are given upon acceptance of the quotation.

We accept Direct Deposit into a Hong Kong bank as well as Business and Bank Cheques. However if cheques are returned, the client will be charged the return fee.

Payment via PayPal is accepted; please note the Client is responsible for the PayPal fee.

5. Changes of Work Request

For all work other than web and graphic design, all additional changes to the original, agreed upon work request will be submitted for approval prior to moving forward.

For website and graphic design work, all additional changes are subject to a charge of $500 HKD per round. A round of changes is defined as a single or several changes given at one time.

6. Design and Development

During the design and development process, it is expected that you, the Client will work with Bauhinia to reach the results outlined in the service provided or outlined quotation. This includes providing timely feedback, as well as a willingness to clarify and elaborate on details as required.

All artwork supplied remains the copyright of Bauhinia until final payment of your account has been made. After which, full copyright is owned by you, the Client.

Any discarded concepts, ideas, designs and/or code remain the property of Bauhinia, and must not be used by the Client under any circumstances, unless purchased separately.

The Client grants explicit permission for Bauhinia to use above-mentioned final components for self-promotional purposes. While Bauhinia takes all care to ensure error-free documents and designs, it is the responsibility of the Client to notify Bauhinia of any errors or omissions prior to finalisation of the account. Changes after finalisation of accounts will incur a separate fee.

7. Blog and Website Development

There are four stages of payment – deposit; approval of design; practical completion and prior to site launch. The Client agrees to comply with the four payment stages as outlined in the quotation.

The Client is required to provide Bauhinia with the content (text, images or videos) for all website pages within one month of practical completion. If the blog or website is not launched within one month of practical completion, the final balance is due.

8. Confidentiality

We value you as a client and take confidentiality seriously. All information provided by the Client is used solely for the purpose of completing the work. Your information will not be passed on to any third party. We are happy to sign a confidentiality agreement, if necessary.

9. Invoicing

All invoices are charged in Hong Kong Dollars unless otherwise stipulated and are to be paid within 7 working days from date of invoice.

Overdue accounts may be subject to a late fee of $500 HKD per week.

10. Withdrawal of Services

Bauhinia reserves the right to withdraw their services at any time with a full refund of your deposit.
